How it works

From the customer’s message to the approved draft

0seat does not replace your inbox: it plugs into its API and webhooks and works alongside your agents. Here is what happens, in order, on every message.

Flow diagram: webhook received, conversation read, approved knowledge base queried, WHMCS data, draft as a private note or handoff, cost recorded; at night, resolved conversations feed new candidate entries.

What happens on every message

  1. The webhook arrives

Your inbox tells 0seat an incoming message exists, through the agent bot 0seat created in your instance. Nothing is installed on your server.

  2. The conversation is read

The latest messages are loaded and personal data is masked. If image reading is enabled on the space, screenshots sent by the customer are described and taken into account.

  3. The approved knowledge base is queried

Semantic and full-text search, merged, over the entries your team approved and nothing else. Below the similarity threshold, no answer is attempted.

  4. The WHMCS account is looked up

If the space is linked to WHMCS, the customer’s services, domains, invoices and orders are read, read-only, sensitive fields stripped, and added to the context.

  5. Draft, or handoff

The model writes a draft grounded in the cited entries, or hands off with the reason as a private note and a suggested message for the agent. Money, disputes, cancellations: handoff, always.

  6. The cost is recorded

Every model call is measured and written to the space’s log, with the entries consulted and the decision made. The monthly cap is checked before each call.

Every night, new candidate entries

The day’s resolved conversations are reviewed to extract generalised question-and-answer pairs, with the original conversation as the source. They wait in the review queue: nothing is used without an agent’s approval.

Three modes, chosen per inbox

Every inbox has its own setting: off to begin with, draft mode when you decide. Rolling back is immediate.

Off

0seat neither reads nor writes to the inbox. Conversations there stay fully human.

Draft

The reply arrives as a private note; its sources are recorded in the console. The customer sees nothing until an agent sends. Every inbox starts here.

Autopilot

The reply goes straight to the customer when its category has passed the measurement (90 % of drafts sent unchanged), or in every category if the owner or an administrator forces the inbox. The server refuses it, and always will, on a payments inbox, on an unofficial WhatsApp channel, and when the customer’s identity cannot be verified with WHMCS connected.

When a human takes over

  • The answer is not in the approved knowledge base: the assistant does not improvise.
  • The customer talks about money: payment, invoice, refund, missing credits, dispute.
  • The customer contests, or asks to cancel.
  • The customer asks to speak to a person.
  • The customer follows up a second time with no fix.
  • Resolving the issue requires your team to act on the account or the server.

Frequently asked questions

What does the customer see during all this?

Nothing: the draft is a private note in your inbox. No mode sends a reply on your behalf today.

How long does a draft take?

A short typing pause, then one model call. Calls are limited per conversation and per hour, and the space’s monthly cap is checked before each one.

What does the log contain?

For every draft: the decision, the reason, the entries consulted and the cost of the call. It is available per space in the console.

Do I need to install anything on my server?

No. 0seat calls your inbox’s API with an administrator token you create, creates its agent bot there and receives incoming messages through it.

Do I need Chatwoot already?

Yes. 0seat is an AI layer for Chatwoot, self-hosted or cloud; the free Community edition is enough. There is no connector for another support tool. If you use one, write to us from the Contact page: we will look at the move to Chatwoot with you.
